Board Positions Description

President:

1. Coordinate the work of officers and committees of the association
2. Preside at all meetings of the association and the executive board.
3. Be a member ex officio of all committees except the nominating committee.
4. Communicate with PTA Council on Association activities appropriately.
5. Identify the opportunities and implement strategies to increase the organization funding
resources via events, donations, sponsorships and other methods
6. Sign all authorizations for payment as required by the executive board or association.
7. Be responsible for preparing the association annual report required by the California
State PTA.
8. Be the official representative of the association at council and district meetings.
9. Accountable for all contracts and/or legally binding documents
10. Accountable for the funds spent by the association.
11. Uphold the by-laws and conduct organization business per the defined governing laws.

 

Vice President – Membership:

1. In the temporary absence of the President, coordinate the work of officers and
committees of the association in order that the purposes may be promoted.
2. In the temporary absence of a President, Preside at all meetings of the association and
the executive board.
3. In the temporary absence of a President, is a member ex officio of all committees except
the nominating committee.
4. Implement plans and strategies to improve organization membership and membership
revenue.
5. Ensure effective and proper communication of the past, present and future activities and
engagements to all the members.
6. Identify the opportunities and implement strategies to increase the organization funding
resources via events, donations, sponsorships and other methods.
7. Uphold the by-laws and conduct organization business per the defined governing laws.

 

Secretary:

1. Keep an accurate record of the proceedings of all meetings of the association and the
executive board in a bound book which is the legal record of this association.
2. Prepare a list of all unfinished business for the use of the president.
3. Record all expenditures in the minutes.
4. Conduct all necessary correspondence of the association upon authorization of the
president, executive board or association.
5. Notify officers of their election and chairmen of their appointments.
6. Send out notices of executive board meetings.

 

Treasurer:

1. Responsible to keep permanent books of account and records to establish the items of
gross income, receipts and disbursements of the association, including specifically, the
number of members, the dues collected from the members and the amount of dues
remitted
2. Facilitate and participate in any California State PTA audits
3. Chair the budget committee and prepare the budget for adoption by the association.
4. Conduct all bank transactions.
5. Prepare all authorizations for payment as required by the executive board or the
association
6. Keep an accurate record of receipts and disbursements in a ledger which is a permanent
record of this association.
7. Remit all council, district, State and National portions of per capita dues monthly to the
financial officer of the council.
8. Present a treasurer’s report at every meeting of the association and the executive board
and at other times when requested by the association.
9. Responsible for filling insurance and tax returns
10. Make annual financial reports.

 

Auditor:

1. Audit the books and financial records of the association semiannually.
2. Prepare and conduct a midyear audit and end of year audit
3. Present a written report of the audits to the executive board

 

Historian:

1. Assemble and preserve a record of the activities, achievements and volunteer hours of
the association.
2. Act as a custodian of records and other materials pertinent to the history of the
association.
4. Assist the president with the preparation of the association’s annual report required by
the California State PTA.
